Enable automation and set it up
In this guide you switch automation on, tell Trustaroo which location and which email provider to use, and collect the two values a connected system needs to add contacts. It takes about five minutes.
The Automation page shows an upgrade prompt on a free account. Subscribe first, then come back to this guide.
Before you start
- Add at least one location, so there is something to pick as the fallback. See Add a location.
- Decide who sends the emails. See Trustaroo sending versus Zapier sending.
Steps
- Sign in at my.trustaroo.app and open the Automation page.
- Select the General Settings panel.
- Switch on Enable automation. Nothing is sent while this is off, and the inbound webhook rejects new contacts.
- Open Fallback Location and choose a location. This is the location used when an incoming contact does not name one.
- Under Email Provider, pick one of the two options:
- Trustaroo - We send emails for you
- Zapier - Forward to Zapier to send via your preferred email service
- If you picked Zapier, paste the URL of your receiving Zap into Zapier Outbound Webhook URL.
- Select Save Settings.
- Copy Inbound Webhook URL with the Copy button next to it.
- Copy Webhook Secret the same way. The value is masked on screen, so use the button rather than reading it off.
What each setting does
Enable automation is the master switch. Its hint on screen says it plainly: when enabled, contacts added via webhook automatically receive review request emails. When it is off, the inbound webhook refuses new contacts and nothing already in the queue moves forward.
Fallback Location decides which review link goes into the email when the incoming request does not specify a location. Every contact must end up attached to exactly one location, because the link in the email is per location.
Email Provider decides who actually delivers the message. Trustaroo can send it, or Trustaroo can post the composed subject and body to a Zap and let your own mail tool send it.
Inbound Webhook URL and Webhook Secret are the credentials for adding contacts. The URL identifies your business profile; the secret proves the request is really from you.
Trustaroo creates the webhook secret when you save these settings for the first time, so the Webhook Secret field is empty until then. Save, then copy.
Anyone with the URL and the secret can add contacts to your queue. Do not put it in a public spreadsheet, a shared document or client-side code.
Check that it works
Add one test contact with your own email address, either through your Zap or with the example request in the inbound webhook reference. Then open the Contacts Queue panel. If the contact appears with the status Pending, the connection works.
If the queue stays empty, the usual causes are automation still being off, a mistyped secret, or no fallback location on a request that did not name one. See Emails not arriving.
Next
You now have a switched-on automation with no emails in it. Add the emails in Build your email sequence. A sequence with no steps sends nothing, even with contacts waiting in the queue.
