Add a review link to your signature

Your email signature is free advertising space that goes out with every message you already send. This guide shows you how to copy your Trustaroo review link and add it to the signature in your own email client. It takes about five minutes.

Trustaroo does not send this email

Trustaroo does not have a bulk email tool or a built-in mail client. This guide is about pasting your review link into software you already use. If you want Trustaroo to send review-request emails for you on a schedule, that is the separate email automation feature.

Steps

  1. Sign in at my.trustaroo.app, open your business profile and scroll to the Locations panel.
  2. Select Copy link on the location row you want. Trustaroo confirms with "Link copied to clipboard". For a single-location business you can also use Copy Link in the Share & Collect Reviews section.
  3. Open the signature editor in your email client. It sits under settings in Gmail, Outlook and Apple Mail alike.
  4. Add one short line under your name and contact details, for example: "Happy with our work? Rate us in 30 seconds."
  5. Select that text, insert a hyperlink and paste the Trustaroo short link as the target.
  6. Save, then send yourself a test message and open the link on a phone to confirm it works.

Wording that gets clicks

Keep it to one line, keep it human, and make the effort sound small. These all work:

  • "Happy with our service? Leave a quick rating."
  • "30 seconds of your time would mean a lot: rate your experience."
  • "How did we do? Tell us here."

Avoid "Please leave us a 5-star review". Asking for a specific rating breaks the review policies of Google and most other platforms, and it makes the request feel transactional. See The review filter and platform policies.

Link the text, not the raw URL

A pasted https://my.trustaroo.app/response/... URL looks like machinery. Hyperlinked words read as an invitation and survive plain-text conversion better than a long URL that gets broken across lines.

  • One location. Everyone uses the same link.
  • Several locations. Give each team the link for the location they work at, so ratings land against the right place. See Multi-location setup.
  • A head office that serves no customers directly. Use the link of the location the recipient actually dealt with, or leave the signature link out for that team.
Do not use images of the QR code in signatures

Many mail clients block remote images by default, and a QR code is useless in an email that is read on the same phone that would scan it. A text link is the reliable choice here. Save the QR code for print.

Company-wide signatures

If your organization manages signatures centrally, for example through Google Workspace or Microsoft 365 signature policies, hand the link to whoever administers it rather than asking each colleague to edit their own. That keeps the wording consistent and means you only have to change one thing if you ever swap locations.

Where the clicks show up

Every visit to your review link is recorded as an interaction with the device, operating system and browser used. You will not see "came from an email signature" as a label, but a run of desktop-browser interactions on weekdays is a strong hint the signature is doing the work, while phone scans point at your printed material.
