Review campaign checklist
Most review campaigns fail on setup, not on effort: the destination link is wrong, nobody printed anything, or staff were never told what to say. Work through this checklist once before you launch and once a month afterwards. Setup takes about an hour.
1. Get the foundations right
- Company name, contact email and phone are filled in, because they appear to customers. See Business information.
- A Review page URL is set that opens the write-a-review form directly, not just your listing. See Find your Google review link.
- You have decided whether the review filter is on and at which star threshold customers are redirected.
- Contact details shown on the feedback page are correct, so unhappy customers can reach you. See Contact details on the feedback page.
- Every physical site you want to measure separately exists as its own location. See Add a location.
2. Test before anyone sees it
- Open your own short link in a private browser window, submit a 5-star rating and confirm you land on the review form. See Test your review link redirect.
- Submit a low rating too, and confirm the private feedback form appears with your contact details.
- Confirm both interactions show up in the Reviews table.
Test interactions are recorded like real ones and appear in your scan counts. Do your testing before you note down your starting numbers, not after.
3. Produce the material
- Printable PDF downloaded per location, in the right language and paper size. See Download a printable review PDF.
- QR code PNG downloaded for anything you design yourself. See Create a Google review QR code.
- Apple Wallet pass installed on the phones of staff who work away from a counter.
- Cards printed, laminated where needed, and placed. See Where to place review QR codes.
- Receipt footer, invoice template and delivery notes updated. See Put a review QR code on receipts.
- Review link added to email signatures. See Add a review link to your signature.
- Review link added to social profiles and link-in-bio pages. See Share your review link on social media.
4. Brief the people
- Every customer-facing person has the exact sentence they will say, not a general instruction. See How to ask customers for a review.
- Everyone knows where the nearest code is at the moment they ask.
- Everyone knows not to ask for a specific star rating and not to offer anything in return. See The review filter and platform policies.
- Somebody owns the private feedback inbox and knows how fast they should reply. See Respond to unhappy customers.
5. Decide how you follow up
- For manual follow-up, agree who sends messages and when. See Send review links by WhatsApp and SMS.
- For automated follow-up, build and enable the sequence, then confirm contacts are arriving in the queue.
Automated review-request email sequences are part of Trustaroo Premium. See Email automation overview and Enable automation.
6. Measure from day one
- Write down today's public review count and average rating on each platform you care about. This is your baseline and nothing else replaces it.
- Note the current scans, average score and referrals on your dashboard.
- Set a weekly time to check the numbers. See Track progress over time.
- Watch the rating distribution, not just the average. A pile of 3-star ratings is a service problem, not a marketing problem.
7. Review it monthly
Once a month, ask four questions: are scans going up, is the average holding, is the private feedback repeating a theme, and is any location falling behind the others. Fix one thing at a time so you can tell what worked. Move a card, change a script, adjust the timing of a follow-up, then compare the next month.
